Registering a New Child
How to add a new child to the system with all required information
Step-by-Step Guide
Navigate to Children
Click 'Children' in the main navigation menu to access the children list.
Click 'Add Child'
Click the 'Add Child' button to open the registration form.
Enter Basic Information
Fill in the required fields: First Name, Last Name, Date of Birth, and Gender. The Internal Reference field is optional but recommended for matching with your internal systems.
The child's age will be automatically calculated from their date of birth
Add Address Details
Enter the child's home address including house number, address lines, town, county, and postcode. This will be used for correspondence and funding claims.
Set Demographics
Select the child's ethnicity (using DfE codes) and first language. These are required for census reporting.
Configure Funding Information
Set the funding type (Universal 15hrs or Extended 30hrs), hours per week, and session claim type (Term Time Only or Stretched).
You can set up detailed attendance sessions later from the child's profile
Add Eligibility Codes (if applicable)
If the child is eligible for 30-hour funding, enter the 30-Hour Code. For 2-year-old funding, enter the 2-Year-Old Code. Both codes have expiry dates that should be recorded.
Save the Record
Click 'Save' to create the child record. You will be taken to the child's details page where you can add parents, medical information, and additional extras.
Each child must be registered in the system before you can create funding submissions for them. The registration process captures essential information required for funding claims.
Required Information
- Personal Details - First name, last name, date of birth, gender
- Address - Full UK address with postcode
- Demographics - Ethnicity code and first language
- Nursery Assignment - Which setting the child attends
Optional Information
- Middle Names / Known As - Alternative names
- NHS Number - For health records
- Internal Reference - Your own reference number
- SEND Status - Special Educational Needs and Disabilities
- Looked After Status - Currently, Previously, or Never
Tip: After saving, you can add parents/guardians, medical information, legal ID documents, and additional extras from the child's details page.
