How to review and approve submissions completed by parents

The Review Process

After a parent submits their declaration, staff must review it before approval.

What to Check

  • Parent Details - Name, address, date of birth, NI number
  • Child Details - Verify information matches your records
  • 30-Hour Code - If claiming 30 hours, verify the eligibility code
  • 2-Year-Old Code - If claiming 2YO funded hours, verify the LA eligibility code
  • Declaration - Ensure parent has agreed to all required declarations
  • Signature - Check the electronic signature is present

Verifying 30-Hour Codes

For extended (30-hour) claims:

  1. Note the child's eligibility code from the submission
  2. Click the link to verify with your local authority's portal
  3. Confirm the code is valid and not expired
  4. Check the 'I confirm I have verified the 30-hour code' box
  5. Optionally upload evidence of verification
  6. Add any verification notes

Verifying 2-Year-Old Codes

For 2-year-old funded hours claims:

  1. Note the 2YO eligibility code from the submission
  2. Verify with your local authority's Provider Portal
  3. Confirm the code is valid and not expired
  4. Check the 'I confirm I have verified the 2-year-old code' box
  5. Optionally upload evidence of verification
  6. Add any verification notes

Approval or Rejection

  • Approve - If everything is correct, approve the submission
  • Reject - If there are issues, reject with notes explaining what needs correction

Important: Once approved, submissions are included in export files. Ensure accuracy before approving.
