Managing user accounts, permissions, and nursery assignments

User Roles

The system has several user roles:

  • Employee.Staff - Nursery staff with basic access
  • Employee.NurseryManager - Nursery manager with approval rights
  • Employee.HeadOffice - Full administrative access
  • Parent - Parent portal access only

Creating Users

  1. Go to Admin > Users
  2. Click 'Add User'
  3. Enter email, name, and select role
  4. Assign to nurseries using the Nursery Assignments table
  5. Save - user receives email to set password

Nursery Assignments

Each staff member can be assigned to one or more nurseries using the Nursery Assignments table:

  • Job Title - Their role at this nursery (e.g., 'Nursery Manager', 'Deputy Manager', 'Room Leader')
  • Primary - Select one nursery as their primary location (radio button)
  • Manager - Check this if they are a manager - their name will appear on funding documents

Adding Nursery Assignments

  1. Click 'Add Nursery' button
  2. Select the nursery from the dropdown
  3. Enter their job title at this nursery
  4. Check 'Is Manager' if they should appear on funding documents
  5. Click 'Add Assignment'
  6. Use the Primary radio button to set their main nursery

Manager Flag

Users marked as 'Manager' will appear on the GOV PDF agreement form in the 'Document recorded by' field. This shows which staff members verified the child's identity documents. Format: Jane Smith - Nursery Manager, John Doe - Deputy Manager

Editing Users

You can edit user details, change roles, modify nursery assignments, or deactivate accounts from the Users page.

Tip: Staff can be assigned to multiple nurseries but can only have one primary nursery. This is used as their default location when logging in.
